Enterprise Content Management (ECM) is no longer just about technology, or just about content. It is about content, community, and context. The deluge of data and information, coupled with the ever-increasing need for compliance is forcing enterprises to take a strategic look at ECM and its associated disciplines. To stack up to competition, enterprises are looking up to faster, flexible, and efficient business processes that can channelise copious, unstructured information into meaningfully optimised, governed, and digitally delivered data that is available to the right stakeholders at the right time.

C-level executives, senior IT process management personnel, marketing and content managers are looking to find the precise solution that will fit the needs of their organization. What are these available solutions, and how do they stack up to the needs of a specific enterprise? What roles do strategic topics such as Governance, Collaboration, Enterprise 2.0 play in the evaluation of these solutions? What is a promising approach, and how do I find the correct partners? The ECM track at Business Technology Summit 2008 offers strategic, technical, and business insights into all aspects of ECM, including Business Process Management (BPM), Business Rules Management (BRM), Master Data Management (MDM), Data Warehousing & Knowledge Management, and Enterprise 2.0. The summit will be held 22-26 September 2008 in Mumbai and Bangalore.
Seeing as it's all the old guard chiming in on this post, I thought I'd
join in too...

James, I actually disagree somewhat with your very first point! ("There
is no way to avoid migrating content in a redesign")

Having the luxury of working on mostly time-based sites such as news and
broadcast-related sites, there is a strong argument for not migrating
content at all, and leaving the old (statically published "flat files")
sitting on the disk, in their old "page furniture".

There is a kind of historical value in having URLs like
http://www.bbc.co.uk/election97/frameset.htm still available, and I can
tell you, if our only choices were migrating all of that content to a
new CMS and republishing, or turning it off, then we couldn't have
justified the cost and would have had to flick the switch. Having the
opportunity to just leave the content there meant that we didn't have to
close it off or leave it for the Wayback Machine to handle.

Similarly, as we redesigned the site over time, we mostly left the
designs as they were...

1997: http://www.bbc.co.uk/politics97/diana/
2002: http://news.bbc.co.uk/1/hi/programmes/newsnight/review/2159682.stm
2006: http://news.bbc.co.uk/1/hi/uk/6176769.stm
2008: http://news.bbc.co.uk/1/hi/uk/7328754.stm

The page design gives users a sense of context that they can use to
recognise that the site has moved on.

Although I guess this is more about a design issue than a content
management one.

So if you want to avoid migration hell, come work on a
statically-published news site! (Having said all that, when we redesign
non-news sites, we still have an awful lot of migration to do...)

It's just like old times, eh?

Brendan :-)

Hi James et. al.-

This is a very realistic and practical survey of the issues (blogged about it here:
http://www.cmswatch.com/Trends/1318-Start-flossing-your-content-now).

One recommendation for V2 would be to address the issue of metadata. Redesigns and
new system implementations typically involve new metadata schemes and the
requirement to classify at least some of the backfile. I think many of the same
issues emerge (limited ability to automate, need for domain expertise, value in
advance clean up), but can play themselves out in different ways.

A first class contribution and one that I am certainly going to recommend to
clients.

One issue that is starting to emerge is the migration of content from a CMS
into a portal. You refer to it in your introductory paragraph but portals
present some rather complex issues. At the core of this is whether the
content is going to be served up in Java portlets or as HTML pages using an
"iFrames" approach. If Java windows are going to be used then because they
need to be able to be resized on demand and also because of the very limited
functionality of the CMS in most portals, there is a substantial challenge
for the organisation in not just migrating the content but in undertaking a
total review of how the content is going to be structured for delivery.
There are some search engine implications for this as well but that is for
another day.

In theory JSR 170 and JSR 286 will assist in the inter-connection of portal
and CMS products but from my rather limited knowledge of how these will work
in practice they are not going to make a major impact on content migration.

Another emerging issue is the upgrade of large SharePoint 2003 intranets to
SharePoint 2007. Well worth reading
http://office.microsoft.com/download/afile.aspx?AssetID=AM102421321033 and

Hi James,

Well -- I'd really wish I had something clever to add, but you've
covered all bases -- any "ah, but..." I had while reading turned out
to be addressed in one of the next paragraphs.

So only one minor thing... in my experience, as you've write as well,
automated or semi-automated migration is rarely an option (you did a
great job explaining why). At the same time, having the regular
content managers, webmasters, editors etcetera do everything by hand
is usually not a viable alternative, either (since you want as short a
freeze as possible, and the core team will often simply be too small
to manage; and if it takes too long, they'll have to do this parallel
to their regular job of maintaining the website, doubling the
workload). And again, you're right in saying that semi-skilled helping
hands most often won't be able to discern what to rewrite, how to
rewrite, where the new content should go, etcetera. (Semi-skilled of
course doesn't mean "uneducated" but rather "they won't know enough
about the subject matter and/or have the expertise as to what makes a
great site, and won't have the time to learn").

So what often happens is that "skilled" editors are brought in. Worst
case, these are junior IT consultants (great at building templates --
terrible at doing the editorial stuff for a website, and expensive, to
boot). Best case, they're professional web editors -- but they still
won't know about your project, your strategy, plans and subject matter
enough to make a big difference (other than just a lot of plain
copy/pasting).

So whereas most people seem to recognize it takes that skill to move
items to the right place in the new site, rewrite some of it, reject
other pages -- they tend to remedy this by getting expensive outside
help, and in doing so, get the worst of both worlds.

The crux of course is that sifting through the existing content,
noting where it should go, and when applicable marking it obsolete or
up for a rewrite, is only a relatively modest amount of time (though
I'm all for paperless offices, you could even just print it all out
and go through it with a marker, which could be pretty quick; you
could also take all the titles, and given a resident web editor will
already more or less know the content, that's enough to sort in a
spreadsheet, mark the target, etc). Getting the original content,
separating text from design and multimedia, uploading that to the new
system, pasting the text, etcetera is the tedious 95% of the work.

So all the regular editors should be involved in the pre-selection.
Then just get a couple of students a comfortable desk job for the
holidays in transferring it to the right place. You'll only need one
person to coordinate what they do if the directions are clear. It'll
save you a lot of money, and more importantly, your regular editors
won't be stressed to the point of breaking during the migration. When
it's done, they can relax and just check if everything is in the right
place.

Cheers,
Adriaan M. Bloem

Indianapolis- Medical, science, and marketing writers, and health care
information technologists, will convene in downtown Indianapolis this
June at the Documentation and Training Life Sciences Conference (http://www.doctrain.com/life
) to explore ways to reduce the amount of time and energy it takes to
create the content needed to run pharmaceutical companies, medical
device firms, and health and hospital corporations. Attendees will
explore solutions to health care information management challenges --
everything from speeding the time it takes to get a new drug to market
to designing health care websites that cater to an increasingly
international audience.

Documentation and Training Life Sciences will be held at the Union
Station Crowne Plaza from June 23-26, 2008. The event aims to attract
science, medical and technical writers and editors, web marketing and
PR professionals, regulatory specialists, information architects,
knowledge managers, document engineers, interaction designers and web
content and online community managers. The theme of the event is The
Right Prescription for Life Sciences Content. Thought leaders,
educators, analysts, consultants and practitioners will discuss
content manufacturing processes, best practices, standards, software
tools, and methods designed to help attendees understand how and where
improvements can be made.

Keynote presenter, Joe Gollner, a structured information management
expert, will discuss how life sciences organizations can leverage
"intelligent automation" to ensure information quality.

Featured presenter, Ann Rockley, president of The Rockley Group (http://www.rockley.com
) and author of the best-selling book, "Managing Enterprise Content" (http://www.managingenterprisecontent.com
), will help attendees understand the need for a "unified content
model" to help improve quality, speed time-to-market, and reduce
content creation, management and delivery costs.

Jerome Nadel, Chief Experience Officer for Human Factors International
(http://www.humanfactors.com/) will tackle Web 2.0 technologies and
their impact on health care providers.

Content management technology analyst, Alan Pelz-Sharpe of CMSWatch (http://www.cmswatch.com
) will provide an overview of the content technologies market, and
localization and translation guru Maxwell Hoffmann of Welocalize (http://www.welocalize.com
) will help attendees understand how to create content that
communicates with non-English speakers at home and abroad.

Other presentations include: a review of what is required of
organizations to create valid Electronic Common Technical Documents
(eCTD); case studies of companies using a Microsoft Word solution to
create labels that comply with the Structured Product Labeling (SPL)
standard, and a demonstration of advanced scanning and recognition
technologies that can help hospitals and medical facilities make
electronic records from paper-based forms and medical records.

"Indiana is leading cluster for the health and life sciences, said
Kristin Jones, Vice President, Business Development, Indiana Health
Industry Forum (http://www.ihif.org). "Our ability to offer a complete
spectrum of innovation, services, and product development is
unequaled. Conferences, like this, continue to highlight Indiana and
the Midwest and reinforce great perceptions of our capabilities."

"Innovation is not limited to inventing new drugs or medical devices,"
says Scott Abel, conference program manager and publisher of the
popular technology blog, The Content Wrangler (http://www.thecontentwrangler.com
). "Innovation also means admitting that the content we create is a
business asset, worthy of being managed efficiently. Most companies
still don't see the savings potential of creating a repeatable process
for creating, managing and delivering information to those who need
it. They spend their time focusing on improvements made by
outsourcing, off-shoring and budget-cutting. We aim to change that."

Media passes available upon request. Interviews with Scott Abel or any

Hi all,

I've just released my latest slideshare, on the four
purposes of an intranet (13:18 audio):

http://www.slideshare.net/jamesr/the-four-purposes-of-an-intranet

As you may have noticed, I've been working steadily to capture some of
the key concepts that underpin our intranet work. Some of these have
already been shared as articles, and most in workshops, but this is a
good way of getting these useful concepts out to a wider intranet
audience.

This slidecast explores the four fundamental purposes of an intranet,
looks at where intranets have traditionally focused, and where they
should be going next if they want to demonstrate ROI.

(The audio was recorded at the recent IA Summit in Miami, Florida.)

As ever, comments would be greatly appreciated...

(Apologies for the cross-posting.)

Regards,
James

16 days until the Intranet Innovation Awards closes

Hi all,

It's now only 16 days until entries for the 2008 Intranet Innovation
Awards closes, on 16 May 2008.

Winners of the inaugural awards demonstrated a wide range of ideas, and
have been very generous in sharing these for the benefit of the wider
community. In return, they gained much-deserved recognition, including
YouTube interviews, writeups in major journals, and inclusion in the
Intranet Innovations 2007 report (not to mention receiving a beautiful
glass trophy!).

This year will be even bigger, with entries covering many individual
improvements to intranets. These may include valuable staff directory
enhancements, powerful search tools, delivery of information to
Blackberries, interactive features on intranets, new ways of meeting
frontline needs, or interesting intranet applications, just to mention a
few ideas.

We also have an international judging panel this year, consisting of
four intranet experts across four continents:

* James Robertson
 Step Two Designs (Australia)

* Martin White
 Intranet Focus (UK)

* Jane McConnell
 NetStrategy/JMC (France)

* Howard McQueen
 McQueen Consulting (USA)

Putting in an entry should only take an afternoon, or slightly longer if
you want more time to polish. Full details can be found on the awards
page:

http://www.steptwo.com.au/iia/index.html

A reminder of some useful resources:

What do innovative intranets look like?

Two articles published this month which might be of interest

Hi all,

I'm excited to announce that entries are now open for this year's
Intranet Innovation Awards, with a closing date of 16 May 2008.

http://www.steptwo.com.au/iia/

All intranet teams are encouraged to enter their innovative approaches
to the design or delivery intranets. This may be may be an entirely new
piece of intranet functionality, or a good idea implemented particularly
well.

Uniquely, these awards recognise individual intranet improvements, and
not intranets as a whole. Submissions can be made across four
categories:

* core intranet functionality
* communication and collaboration
* frontline delivery
* business solutions

Winners will be showcased in the Intranet Innovations report, as well as
in articles, YouTube interviews, online presentations, international
conferences and major industry journals.

---

For tips on how to win an award:
http://www.slideshare.net/jamesr/how-to-win-an-intranet-innovation-award/

Full details on the awards, including the entry form:
http://www.steptwo.com.au/iia/

---

This is another opportunity for intranet teams to have their time in the
light, so don't forget the closing date of 16 May 2008.

Regards,
James
Subject: [CMS] .net options these days?

James' article post (which is nice, btw!) reminded me that this list is
still alive.

Which is nice timing, is, once again, I'm in the middle of CMS research
hell. ;o)

We've spent 6 months trying to roll out a CMS solution via SharePoint
Server 2007. It failed. More for political reasons than technical, but
either way, it's been scrapped and I'm not looking for options. They
primary 'technical' issues were a) very hard to skin outside of
SharePoint's own preferred templates b) the CMS features are built ON
TOP of sharepoint, so the learning curve is large. c) admin interfaces
to update content are complex and overly tedious. d) we really didn't
need a lot of the features it forces upon you...page templates,
workflow, approvals, etc.

The catch is that we really need a MS-centric solution to make it easy
to sell to the server team. .net preferred.

5 years ago when we went through this process we found the options to be
slim. Products were either way overpriced or just completely inadequate
from a tech-management side (crappy templating systems, bad web
standards support, overly complex permissioning systems). So, we built
our own.

5 years later, one of the options on the table is for us to re-write our
internal application and release a 'v2.0' of it.

I'm all for that, as I really enjoy working on that type of work, but I
simply can't just accept that as the solution without first taking a
look as to what's out there.

So, any suggestions? Some details:

- the CMS solution will need to run our Intranet 'portal' and our
public web presense.
- we're still going to use SharePoint for internal collaboration. As
such, I have a hunch, over time, that the 'intranet' portal will become
more of a directory pointing to a lot of SharePoint collaboration sites.
- for now, though, the intranet is going to need to be a hierarchical
grouping of pages that will have text content, and links to documents.
We need to delegate permissions by regional office, then by department
within each office.

What I've begun to look at:

- DotNetNuke. Pros: Full 'CMS'. Cons: looks a lot like sharepoint.
Might have more features that we really need.
- Graffiti CMS. Pros: VEERY nice interface. Cons: mainly a blogging
engine, and doesn't quite seem to be built for the 'enterprise'.
- FlexWiki: Pros: Wikis are quick and dirty. Cons: well, it's just a
wiki. Probably a hard sell internally.

Any other OS and/or low-cost .net-centric CMS systems on the market
these days that I should take a look at? On my list of things to still
look at are Community Server (same company as Graffiti CMS), and Ubarco
(looks great, but might not yet be an established OS option).

-Darrel

- the CMS solution will need to run our Intranet 'portal' and our
public web presense.

Hi Darrel

I work for Dynamicweb-cms.com. With the risk of being accused of spamming I just want to present you with a viable proprietary solution. Darrel, Feel free to flame me later on the list if you don't think this was relevant to your scenario.

Essentially I think our product is what you are looking for.

1) It is based on .Net

2) It is very straight forward in terms of how you manage content. Yes compared to larger systems it has flexibility limits but it sounds like you will not need that type of flexibility anyway. * referring to the problems you have had with Sharepoint and other solutions.

3) It is well established with 3000 customers on maintenance contracts.

4) As an intranet it will not handle collaboration well but excels in publishing content quickly and yet has reasonable user access management features.

5) You can build custom modules and use .Net controls.

6) Can be setup on Microsoft IIS and run either SQL or Access. It can be installed in less than 30 minutes by a junior system administrator.

7) Comes with a relatively low price tag since it originates from Denmark which is country of primarily small and medium sized companies not willing to pay the kind of price companies like Vignette, Reddot, Microsoft etc. are accustomed to.

Let me know if it could of interest and we will give you a free demo you can play around with.

you can look at ConQuest CMS
(http://www.conquestcms.com)

It is written in ASP.NET and the base cost of the
product is just USD 4500/- Customizations will cost
equally cheap, as the developers are sitting in India.

> James' article post (which is nice, btw!) reminded
> me that this list is
> still alive.
>
> Which is nice timing, is, once again, I'm in the
> middle of CMS research
> hell. ;o)
>
> We've spent 6 months trying to roll out a CMS
> solution via SharePoint
> Server 2007. It failed. More for political reasons
> than technical, but
> either way, it's been scrapped and I'm not looking
> for options. They
> primary 'technical' issues were a) very hard to skin
> outside of
> SharePoint's own preferred templates b) the CMS
> features are built ON
> TOP of sharepoint, so the learning curve is large.
> c) admin interfaces
> to update content are complex and overly tedious. d)
> we really didn't
> need a lot of the features it forces upon you...page
> templates,
> workflow, approvals, etc.
>
> The catch is that we really need a MS-centric
> solution to make it easy
> to sell to the server team. .net preferred.
>
> 5 years ago when we went through this process we
> found the options to be
> slim. Products were either way overpriced or just
> completely inadequate
> from a tech-management side (crappy templating
> systems, bad web
> standards support, overly complex permissioning
> systems). So, we built
> our own.
>
> 5 years later, one of the options on the table is
> for us to re-write our
> internal application and release a 'v2.0' of it.
>
> I'm all for that, as I really enjoy working on that
> type of work, but I
> simply can't just accept that as the solution
> without first taking a
> look as to what's out there.
>
> So, any suggestions? Some details:
>
> - the CMS solution will need to run our Intranet
> 'portal' and our
> public web presense.
> - we're still going to use SharePoint for internal
> collaboration. As
> such, I have a hunch, over time, that the 'intranet'
> portal will become
> more of a directory pointing to a lot of SharePoint
> collaboration sites.
> - for now, though, the intranet is going to need to
> be a hierarchical
> grouping of pages that will have text content, and
> links to documents.
> We need to delegate permissions by regional office,
> then by department
> within each office.
>
> What I've begun to look at:
>
> - DotNetNuke. Pros: Full 'CMS'. Cons: looks a lot
> like sharepoint.
> Might have more features that we really need.
> - Graffiti CMS. Pros: VEERY nice interface. Cons:
> mainly a blogging
> engine, and doesn't quite seem to be built for the
> 'enterprise'.
> - FlexWiki: Pros: Wikis are quick and dirty. Cons:
> well, it's just a
> wiki. Probably a hard sell internally.
>
> Any other OS and/or low-cost .net-centric CMS
> systems on the market
> these days that I should take a look at? On my list
> of things to still
> look at are Community Server (same company as

Hi all,

I've just published a one-page article outlining the time minimum time
needed to select a new CMS:

http://www.steptwo.com.au/papers/cmb_selectiontime/index.html

This is obviously not aimed at the "CM pros" on the list, but may be
useful in helping to set client expectations...

As ever, feedback is gratefully received.

Cheers,
James

- the CMS solution will need to run our Intranet 'portal' and our
public web presense.

Have you heard about Umbraco? It's .NET and OS, a strange combo, but it
might be what you want.
http://umbraco.org/

I've never used it, but I'm thinking about checking it out shortly.
One of my coworkers really likes it though. It might be worth a look.
